INSTRUCTIONS FOR CREATING A TEMPLATE
for the DS CARDbadge


To setup a template using Microsoft Word 2000, please read the following step-by-step instructions:

Open a blank document, then:

• Click on “Tools” and then click on Mail Merge. The Mail Merge Helper will appear.
• Proceed to #1 Main document. Click on Create and choose Mailing Labels, then click on Active Window.
• Mail Merge Helper will re-appear. Proceed to #2 Data source.
• Click on Get Data. Here you can either create your own data or attach an existing data source.
• To create your own, choose Create Data Source and follow the instructions.
• Upon completion click OK. You then must give this document a name and save it.
• Since your data source will not contain any records at this time, proceed by clicking on Setup Main Document. This will bring you to Label Options dialog box.
• Click on ‘New Label” and using the measurements below, create your custom label.

Top margin: 0.25"
Label height: 3.5"
Side margin: 0.19"
Label width: 4"
Vertical pitch: 3.5"
Number across: 2
Horizontal pitch: 4"
Number down: 3
Page size should be: 8 x 11 letter
 
Click on OK, twice
 
This will bring you to the Create Label screen. Here you will choose the appropriate merge fields needed for your name badge. Click on Insert Merge Field and highlight the field(s) needed. Note: you can always add or delete a field after the template has been created.

Accept these changes and the Mail Merge Helper screen will appear again. Click on the MERGE button. You may or may not see any data, in any case go to File and click on close and DO NOT SAVE this. Your template should now appear on the screen before you with the merge fields you selected.
 
You should see 6 boxes with merge fields in them, all but the upper left box should also have the word field «Next Record». Delete all of the information in the boxes down the right side of your screen. Then go back and center your merge fields, choose font, and point sizes.
 
Your template is now complete and ready to be saved. Remember DO NOT SAVE THE DOCUMENT THAT YOU JUST MERGED DATA TO. However when closing out your template you must remember that your data file is attached and must be saved along with it.
 
Some helpful hints: First go to “View” on the tool bar and select ‘page layout’. This will give you a ruler going down the left side, to will enable you to position the merge fields. You will notice when you merge your information that a new document is created called Label 1, etc. Once you have merged your data and printed your badges it is not necessary to save it. Only the template is saved.
